ITS helps you be productive when working away from campus.
Information Technology Services (ITS) provides many useful resources to help faculty members accomplish academic and research goals when away from campus. Whether you are choosing to work from home, on a research fellowship in another country or presenting at a professional conference, ITS can help you work securely, access your important files and documents, and stay in touch with colleagues and students.
Here are some IT resources to assist you when you are working away from the office:
- Protect your computer and your work. Being online opens your computer and the information it contains to a myriad of security threats. Infections, compromised or corrupted files, even data and identity theft are real and present dangers. BevoWare security software and updates are available as no-cost downloads to help you protect yourself and your work. Once installed, BevoWare software will help your system meet the university’s minimum security requirements. Update your security software regularly to maintain the security and integrity of your work.
- Create a secure connection to the university network. Many IT resources at UT Austin require your computer to be on the campus network; if you use another Internet connection by itself you won’t be able to gain access to your work. The Virtual Private Network (VPN) works with your regular Internet connection to solve this problem. This program (available through BevoWare) creates a secure connection between your computer and the university network in a way that lets you access “campus only” resources. The VPN also ensures that traffic between campus and the computer you use when you are away from campus is secure.
- Store, access and share files online. Saving your work on WebSpace allows you to access your files from any Web browser, on or off campus. Now that the Information Security Office (ISO) has assessed WebSpace as meeting the university’s required minimum security standards for Category-I data, you can also use WebSpace to safely store sensitive digital data. By granting access permissions to colleagues and collaborators, you can share specific work files from any location rather than having to be in your on-campus office. Every member of campus is provided 150 megabytes (MB) of WebSpace file storage on the university network
- Check your campus e-mail wherever you are. As long as you have access to an Internet-connected computer, you can check your university e-mail account using Webmail. If you have an Austin Exchange Messaging Service account, you can access your messages and calendar by logging in to Outlook Web Access.
- Send documents from your computer to a campus printer. The ITS Printing Service allows you to send print jobs from an off-campus location to printers in various labs and facilities across campus. You need to download and install the appropriate software and be connected to the campus network in order to print remotely. Using this service can save you the time and trouble of printing and transporting documents and handouts from an off-campus location to your meetings or classrooms.
- Check your voice mail away from campus. If your school or department provides you with a SmartVoice account, you can call the voice mail server access number (512-471-2100) or forward your voice messages to your e-mail inbox. You can also use the remote SmartVoice Web client. This allows you to access your messages from your computer or mobile device no matter where you are, 24/7.
